Spontaneous Flows: Link Generator

Spontaneous feedback collection is available through a unique link.
Before you even start setting it up, make sure you have covered all of the necessary settings. For link creation or adjustments, you need to go through the settings of:

Without those settings completed, you won’t be able to create any link, not even as a draft.


How to create a link generator?

Start by clicking on the blue button “Create link generator.” A new window will pop up, where you can start filling in the necessary information.

Generator name: usually represents the campaign or use case that you apply the feedback collection for (Call centre, Claims, etc.).
Flow: select the desired survey from the dropdown, which will be shown to the customer/employee after they click on the link.
Generates link on: select from the employees (feedback on specific employees), structure (feedback on specific venues), or flow (general feedback on the organisation). When you choose staff or structure, a specification on profiles or teams is needed.
Throttling: select the desired throttling from the dropdown (select which limitations will be used for registered feedback).
+Add parameter: specific parameters can be added to the link, based on the Attributes created.

Once you fill out all the fields, click the “Save and generate” button to make the link ready for use. If you want to discard what you have created, choose the “Cancel” option.

After you create a new link, it automatically appears in the table and is ready for use. To access newly generated links, click on the “Links list” option. A new table appears, with all the links generated based on your criteria. Use the “Copy” option or the “Export” button to start collecting feedback spontaneously.


How to duplicate a link generator?

A duplicate option is unavailable for the link generator since all links are unique.


How to adjust a link generator?

Any link generator is adjustable, except the “Generate links on” setting.
Click anywhere in the row of the link you want to adjust or click on the context menu (three dots) displayed at the end of the row for the link you want to adjust, and choose the “Edit” option.

In both cases, a new window appears where you can proceed with your changes. Please note that the links remain the same, only the settings will differ once you save the changes.

When you select generating links on staff or structure, there is no need to adjust any settings when there are any changes within the team structure. New links are created automatically, and inactive ones are deleted automatically, too.


How to delete a link generator?

Did you generate a link by mistake, or are any generated links no longer valid? Click on the context menu (three dots), displayed at the end of the link row you want to delete, and choose the “Delete” option. A new window pops up where you must confirm that you are sure about the deletion. After your confirmation, the link will be successfully deleted.

⚠️ Please note that once you delete any link generator, no feedback will be registered from the original links.


How to restore a link generator?

Did you delete any link generator by mistake, or do you want to restore some older settings? Click on the context menu (three dots), displayed on the top of the link generator table, and choose the “Restore” option.
A new page appears where you can find all previously deleted link generators. Use the search bar or manually search for the link generator you want to restore.

If you are unsure if the link generator is right, select the “View detail” option through the context menu (three dots) at the end of the link generator row. The view-only access will display the whole link generator setup.
Once you are sure about the link generator you want to restore, click on the “Restore” option through the context menu (three dots) at the end of the link generator row, or click on the “Action” menu displayed at the top of the table to restore the desired link generator.

After you confirm in a pop-up window, the restored link generator will appear again in the “Distribute” tab. Restored links are active immediately.


What is the “Quick Share” option?

This option allows you to quickly create a link for spontaneous feedback collection, only by choosing the flow (survey) you want people to fill out. Select the desired flow from the dropdown, copy the link, and you are ready!
The feedback will be registered on the general organisation (no specific profile or venue), and only one feedback per customer (browser) can be registered.
