The Notification page is connected to the email notification that can be sent to any user based on specific conditions. Simply put, you (or any other user) can be notified about any new feedback received for a specific part of the structure, specific employee or even when feedback for a specific type of question is recorded in the platform. Daily/weekly/monthly summaries are also created via notifications.

Let’s navigate you through the Notifications page now. Starting from the top, you can see the number of created notifications and groups as the first thing. The list of all notifications (the main table) consists of the following information:

Name: The name usually represents the type of feedback (positive/negative/neutral) and campaign the notification will be used for (call centre, technicians, retail, etc.). If more notifications are created, feel free to use the search bar to find the notification you need based on its name.

Group: Name of the group the notification is part of (empty if no group is assigned).

Last edited: Date of the last edit of the notification.

Option to group notification is also available, and you can find more information about Notification groups here. The list of all groups (the main table) consists of the following information:

Name: The name usually represents the type of feedback (positive/negative/neutral) and the campaign the notification will be used for (call centre, technicians, retail, etc.). If more groups are created, feel free to use the search bar to find the group you need based on its name.

Notification in groups: Number of notifications added to the group.

Last edited: Date of the last edit of the group.

You can sort both lists based on any of the parameters above.

Creating a notification

You can start setting up the Notifications by visiting the “Notifications” section in Settings and clicking on the “+ Create notification” button.

A new window pops up, where you fill in the following input fields:

Notification name: the name usually represents the campaign that the notification is connected to (name of the team, structure entity, product, etc.) and the type of feedback (positive/neutral/negative).

Interval: choose the preferable interval from the dropdown options: real-time notification after a specific action is done or hourly/daily/weekly/monthly summaries.

Notification rule: choose the rule from the dropdown. If no rule is created, you need to Create a Rule first.

Notification trigger: choose trigger from the dropdown options:

A: Feedback – for notifications connected to received feedback (notify me once positive feedback arrives, notify once daily with the number of negative feedback, etc.).
B: Team profile – for notifications connected to specific users (if a new user is created, daily summary of deleted users, etc.).

Notification conditions: set specific conditions based on the dropdown options. You can condition the notification based on many parameters like flow, question/answer value, attribute values or specific teams and users.

Once all of the above is done, use the option “Save” to save your new notification or the option “Cancel” to discard all settings and start all over again.

⚠️ Please note you are not able to duplicate existing notifications.

Adjusting a notification

When it comes to changes within Notifications, you can change all of the parameters that you fill up while setting them up.

Once you click on the row where the notification you want to change is placed or on the “context menu (three dots)” placed at the end of the row and choose the “Edit” option, a new window pops up, where you can adjust the following fields:

  • Notification name: the name usually represents the campaign the notification is connected to (name of the team, structure entity, product, etc.) and the type of feedback (positive/neutral/negative).
  • Interval: choose the preferable interval from the dropdown options: real-time notification after a specific action is done or hourly/daily/weekly/monthly summaries.
  • Notification rule: choose the rule from the dropdown. If no rule is created, you need to Create a Rule first.
  • Notification trigger: choose trigger from the dropdown options:
    A: Feedback – for notifications connected to received feedback (notify me once positive feedback arrives, notify once daily with the number of negative feedback, etc.).
    B: Team profile – for notifications connected to specific users (if a new user is created, daily summary of deleted users, etc.).
  • Notification conditions: set specific conditions based on the dropdown options. You can condition the notification based on many parameters like flow, question/answer value, attribute values or specific teams and users.

Once all of the above is done, use the option “Save” to save your new notification or the option “Cancel” to destroy all settings and start all over again. If the notification you just adjusted has already been used by any user, new conditions will apply immediately.

⚠️ Please note you are not able to duplicate existing notifications.

Deleting a notification

Deleting a Notification is a simple process that can be done in two different ways:

1. By clicking on the “context menu (three dots)” placed at the end of the row of the notification that you want to delete and choosing the “Delete” option.

2. By checking the check box placed at the beginning of the row of the notification that you want to delete and choosing the option “Delete” from the “Actions” dropdown. This option is better when you want to delete multiple notifications at once.

In both cases, a new window always appears where you must confirm your decision to delete the notification(s). After your confirmation, notifications will be successfully deleted.

⚠️ Please note if the notification you just deleted has already been used by any user, it will be disabled immediately. Once you delete any notification, you will not be able to restore it. The only option is to Create a new notification.


Notification groups

Notification groups are used for grouping the notifications connected to one team or topic (one feedback type) for a more effective search while applying it.

Example: We create 3 notifications for feedback connected to a Call Centre and group them into one group named “Call Centre notifications” another 4 notifications are connected to Retail, and another 6 will be used just for Technicians. You can inform your team leaders who are responsible for a specific department, and they can enable dedicated group to connect to their department. All notifications will be enabled immediately without additional scrolling or other actions. 

To create a new group, there needs to be at least one Notification created. You can start setting up the Notification group by visiting the “Notifications” section in Settings and clicking on the “+ Create group” button.

A new window pops up, where you first name the group. The name usually represents the campaign the notifications are connected to (name of the team, structure entity, product, etc.) and the type of feedback (positive/neutral/negative). Since every group needs at least one notification, you can add them by clicking on the “+Add notification” option. 

A new window opens where you select relevant notifications by checking the checkbox next to their name. Confirm your selection by using the “Add” button and save your new group.

You can easily check the conditions of the notification after you add it to the group by simply clicking on the notification name. A new window will pop up where you can even change all of the notification parameters.

Adjusting notification groups

When it comes to changes within the Notification groups, you can do the following:

  • Renaming the group: By clicking on the row where the group is placed and replacing the original name with a new one in the “Group name” input field. Don’t forget to confirm the rewrite via the “Save” button.
  • Deleting the group:
    • By clicking on the “context menu (three dots)” placed at the end of the row of the group that you want to delete and choosing the “Delete” option.
    • By checking the check box placed at the beginning of the row of the group you want to delete and choosing the option “Delete” from the “Actions” dropdown. This option is better when you’d like to delete more than one group at once.
    • By clicking on the row where the group is placed and choosing the “Delete” option in the “context menu (three dots)” situated in the top right corner.

⚠️ Please note notifications used in the group won’t be deleted if you delete the group only.

  • Moving notifications within groups: By clicking on the row where the group you need to make the changes to is placed. Select the notifications you’d like to move by checking the checkbox next to their name and select “Add to another group” in the “Action” dropdown. You’ll be asked to choose a different group (which needs to be created already) while moving the notifications.

  • Adding notifications to the group: You have several options here:
    • By clicking on the row where the group you need to make the changes to is placed and choosing the “+Add notification” option
    • By clicking on the “context menu (three dots)” placed at the end of the row of the notification that you want to add and choosing the “Add to group” option.
    • By checking the check box placed at the beginning of the row of the notification you want to add and choosing the option “Add to group” from the “Actions” dropdown. This option is better when want like to add multiple notifications at once.
    • By clicking on the row where the notification is placed and choosing the “Add to group” option in the “context menu (three dots)” situated in the top right corner.
  • Removing notifications from the group: You have several options here:
    • By clicking on the row where the group you need to make the changes to is placed. Check the checkboxes next to the notifications that need to be removed and select the option “Remove selected” from the “Action” dropdown.
    • By clicking on the row where the group you need to make the changes to is placed and choosing the option “Remove from group” from the “context menu (three dots)” in the row where the notification is placed.
    • By clicking on the “context menu (three dots)” placed at the end of the row of the notification you want to remove and choosing the “Remove from group” option.
    • By checking the check box placed at the beginning of the row of the notification you want to remove and choosing the option “Remove from group” from the “Actions” dropdown. This option is better when you want to remove multiple notifications at once.
    • By clicking on the row where the notification is placed and choosing the “Remove from group” option in the “context menu (three dots)” situated in the right top corner.

You’ll be always asked if you are sure about this action and after your confirmation, the notification(s) will be removed successfully.
